What this policy covers

This policy explains how we handle personal information when you visit this website, contact us, request a demo or receive communications from us.

When we provide Ocat Digital Marketing to a business, our handling of that business’s data, and of the customer data it manages in the Ocat CRM, is governed by our written agreement with that business. See the section “Data we process for our clients”.

Information we collect

Information you give us. When you use our contact or demo form, we ask for your name, business name, email address and country. You may also give us your phone or WhatsApp number, website, the city or region you serve, the topics you would like help with, a preferred demo time, a message, and whether you want to receive updates from us.

Communications. If you email, call or message us, we keep a record of that communication.

Technical information. Like most websites, our hosting servers automatically record technical information such as your IP address, browser type, the pages you request and the time of the request. We use this to operate and secure the website.

Cookies. This website does not currently use cookies for analytics or advertising. If we introduce them, we will update this policy and, where the law requires, ask for your consent first.

How we use your information

  • To respond to your enquiry and arrange any demo you request.
  • To prepare information or proposals about Ocat Digital Marketing that you have asked for.
  • To manage our relationship with you if you become a client.
  • To send you updates and marketing, only where you have agreed or where the law otherwise allows, and always with an easy way to opt out.
  • To operate, maintain and secure this website.
  • To comply with our legal obligations and to establish or defend legal claims.

Where the UK GDPR or the EU GDPR applies, we rely on: steps before a contract when responding to an enquiry or demo request; legitimate interests in running and securing our business and website and following up enquiries; consent for marketing messages where consent is required; and legal obligation where we must keep or disclose information by law. You can withdraw consent at any time.

Marketing messages

We only send marketing by email, SMS or WhatsApp where you have agreed or where the law otherwise allows. The updates box on our contact form is unticked by default and separate from your enquiry. Every marketing message identifies us and tells you how to opt out. You can also opt out by contacting us at info@ocatdigital.com.

AI chat assistant

Our website includes the Ocat Assistant, an AI chat assistant. When you use it, your messages and the page you are viewing are sent to our server and to our AI provider, Anthropic, to generate replies. We do not keep chat conversations on our servers. Your browser keeps the current conversation until you close the tab.

Please do not share sensitive personal information in the chat. AI answers can be inaccurate, so please confirm anything important with us.

If you choose Leave your details, we store your name, email, any phone number and country you give us, the questions you asked in the chat, and your contact and marketing choices, so that we can respond to you. We handle this information in the same way as other enquiries.

Who we share information with

We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We share it only with:

  • service providers who help us run our business, such as website hosting, email and CRM providers, under contracts that require them to protect it;
  • our AI provider, Anthropic, which processes chat messages to generate the assistant’s replies;
  • our authorised partner in India, Adsin Technologies (#18, First Floor, 1st Cross, D.C. Halli, Bengaluru 560076), where we need their help to respond to enquiries from India or to serve clients there;
  • professional advisers, such as lawyers and accountants, where needed;
  • authorities or others where the law requires, or to protect our rights; and
  • a buyer or successor if our business is reorganised or sold, subject to this policy.

Data we process for our clients

Businesses that use Ocat Digital Marketing may store their own customers’ and prospects’ details in the Ocat CRM and send them messages. For that data, the client business decides how it is used, and we process it on the client’s behalf under our agreement with them. If you are a customer of one of our clients, please contact that business about your information. We will help our clients respond to your request where needed.

International transfers

We serve businesses in India, the United States, the United Kingdom, Canada, Australia, the UAE, Bahrain, Qatar and Ireland, and our service providers may be located in other countries. Where we transfer personal information across borders, we take steps required by applicable law to protect it, such as using approved contractual clauses where they are required.

How long we keep information

We keep enquiry and demo information for as long as needed to respond and follow up, and then for [retention period, for example 24 months] unless you become a client or we need it longer for legal reasons. Client records are kept for the period set out in our client agreement and as required by law. Marketing preferences are kept for as long as needed to respect them.

Security

We use appropriate technical and organisational measures to protect personal information, including access controls and secure hosting. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.

Your rights

Depending on where you live, you may have the right to access your personal information, correct it, delete it, restrict or object to its use, receive a copy in a portable format, and withdraw consent. To make a request, contact us at info@ocatdigital.com. We may need to confirm your identity first.

  • United Kingdom: you can complain to the Information Commissioner’s Office (ICO).
  • Ireland: our lead supervisory authority is the Data Protection Commission (DPC), and you can complain to it.
  • Canada: you have rights under PIPEDA and can complain to the Office of the Privacy Commissioner of Canada.
  • Australia: you have rights under the Privacy Act 1988 and can complain to the Office of the Australian Information Commissioner (OAIC).
  • India: you have rights under the Digital Personal Data Protection Act, 2023, including grievance redressal through the contact below and, after that, recourse to the Data Protection Board of India.
  • UAE: you have rights under the UAE’s federal personal data protection law.
  • Bahrain: you have rights under Bahrain’s Personal Data Protection Law (Law No. 30 of 2018).
  • Qatar: you have rights under Qatar’s Law No. 13 of 2016 on the protection of personal data privacy.
  • United States: residents of some states, such as California, have rights to know, delete and correct their information and to opt out of sale or sharing. We do not sell or share personal information as defined by those laws.

We will not treat you differently for exercising your rights.

Children

This website and our services are intended for businesses. They are not directed at children, and we do not knowingly collect personal information from anyone under 18.
